Do you want to work at the AOC to guarantee citizens' rights not to present documents held by the Administration?
If you have annual calls or periodic procedures already authorized in your organization, it is not necessary to request each of these calls or procedures again each year. That is, the annual calls maintain the same code and, therefore, the authorizations are maintained and do not need to be requested again.
However, with regard to authorization requests for multi-year plans, the procedure code can be maintained and only the name of the plan will need to be updated. For example, “Strategic aid management plan, years 2025 – 2029”.
That said, regarding the name of the procedures, we recommend the following in order to avoid requests from the State Data Intermediation Platform (PID):
- Do not indicate the year of the call. For example, recently, procedures that referred to COVID-19 aid are being blocked.
- Do not include the name of the service requested (eg “Large family data query”); the procedure code or the name of the assignor (eg “Ministry of Education”).
However, it is necessary to manage the relevant variations regarding this same procedure (and code). For example:
- the inclusion of a new requirement (for example, having a driving license): a new authorization would need to be requested for the data that is now needed for the already authorized procedure code.
- the elimination of one of the requirements and, therefore, if a service is no longer necessary, it should be communicated for the purposes of deregistering it.
You should keep in mind that from the control of authorizations and access to PID services, authorizations that have not been used for a reasonable period of time are blocked and, subsequently, they are permanently deleted.
