Viladasens City Council is committed to digital management in the administrative field and the adoption of new lines of action with suppliers and citizens that improve the efficiency, administrative efficiency and quality of the public sector

Joan Maria Figueras Xargay, secretary of the Viladasens City Council, explained to the AOC Consortium that for some years now they have been looking for alternatives to process the maximum electronically and save, for example, on stamps. "Some months we have spent 4 or 5 euros on stamps," says the secretary.

"We have realized that before we approach the citizen we are the ones who need to improve." In addition, to facilitate electronic communication, the City Council has taken other initiatives aimed at both the Administration and suppliers and citizens. Firstly, when they receive paper documentation from the Catalan public sector, they have a standard email that they send to the administrations in which they ask that communications be sent to them preferably by EACAT or, if this is not possible, through the mailbox available in their electronic headquarters or the generic form in the procedures section. On the other hand, they also request this commitment from their suppliers who, for example, use e-TRAM. “These are small changes that help us improve productivity”. Finally, they have established a protocol to avoid documents such as certified letters: “If a citizen goes to the City Hall to request, for example, a license, we ask for their email address, to send them communications to their mailbox or their mobile phone number, to send them an SMS”.

Figueras states that they are ready but that the day-to-day work of the City Council has not allowed them to put themselves in it at all. “We often waste a lot of time doing tasks that don't bring us anything, such as managing junk mail. What we want is to get rid of this kind of work by limiting the use of email to administrative file management. Then we will be able to face the change ".
